This policy explains Solara's actual data practices. It does not promise that no security incident, outage, or data loss can ever occur.
Solara Bot and the Solara Dashboard (together, "Solara") are operated from Florida, United States, by the Solara development team ("we," "us," or "our"). We are an independent development team, not Discord, Inc. Discord's own terms and privacy policy also apply to your use of Discord.
Depending on the features you use, we may handle:
We do not intentionally collect data unrelated to operating, securing, supporting, or improving Solara. Some server administrators may configure features that collect user-supplied content; those administrators control what they ask for and who on their team may review it.
A guild may enable private Discord ticket channels. Ticket conversations are recorded by Solara for the guild's authorized support team. Anyone who currently has permission to the channel may type; claiming a ticket does not create an exclusive conversation. Staff-only intake and private notes are encrypted and are excluded from requester-safe copies.
Attachment filename, type, size, and the original Discord URL may be retained. Attachment bodies are not copied, and Discord attachment links may expire. Requesters do not receive public or self-service transcript links and must contact the guild administrators for an authorized requester-safe copy.
Transcript retention defaults to indefinite and may be changed by an authorized guild administrator to any positive whole-day duration. Closing and Discord-channel archival are separate; close grace is limited to 0–30 days. A specific legal/security hold may delay deletion. After irreversible ticket-key deletion, content cannot be restored.
Where applicable law requires a legal basis, that basis may include performing the service you request, legitimate interests in operating and securing Solara, consent for optional processing, or compliance with law.
A server administrator creates each form, chooses its questions, audience, reviewers, delivery settings, and retention period. Authorized server administrators and reviewers can access submissions according to their Discord permissions and form-specific grants.
A form labeled "masked" still requires Discord authentication. Solara stores the submitter's identity in encrypted form for security, duplicate prevention, and lawful requests, but does not reveal that identity in normal reviewer views or exports. Masked does not mean that no identifying data exists.
Deletion removes data from active systems according to the applicable workflow. Limited copies may remain temporarily in backups, logs, or records we must preserve for legal, fraud-prevention, security, or disaster-recovery purposes.

We do not sell personal information or share it for cross-context behavioral advertising.
We use safeguards designed for the nature of the data, including HTTPS, access controls, audit logging, rate limiting, and encrypted storage for sensitive Forms answers, identities, notes, and delivery payloads. Public form-link tokens are stored as hashes rather than readable tokens.
No system is perfectly secure. If we determine that a security incident requires notice, we will investigate and notify affected people or authorities as required by applicable law. Please report suspected security issues privately rather than posting them publicly.
The My Submissions page lets authenticated users review their own submission history and request deletion. You may also contact us to request access, correction, export, or deletion. We may need to verify your identity, may deny or limit a request where law permits, and cannot expose another user's or server's protected data.
Depending on where you live, applicable law may provide additional privacy rights and appeal options. We will honor verified requests to the extent required by applicable law; this policy does not claim every privacy law applies to every user or to Solara.
The Dashboard uses first-party cookies and similar storage needed for authentication, security, preferences, and Forms sessions. We do not use third-party advertising cookies. Avoid using shared devices for sensitive forms, and sign out when finished.
Solara is not directed to children under 13. You must meet Discord's minimum age for your country and obtain a parent or guardian's permission where required. Contact us if you believe a child's information was submitted improperly.
Solara is operated and its primary systems are hosted in the United States. If you use Solara elsewhere, your information may be transferred to and processed in the United States, where privacy laws may differ from those in your location.
We may update this policy as Solara, our practices, or applicable law changes. We will update the date above and provide reasonable notice through the Dashboard, support server, or another appropriate channel when changes are material.
