Terms of Service

1. Agreement and operator

These Terms govern your use of Solara Bot and the Solara Dashboard (together, the "Service"), an independent service operated from Florida, United States, by the Solara development team ("we," "us," or "our"). By using the Service, you agree to these Terms and our Privacy Policy. If you do not agree, do not use the Service.

2. Server ticket administrator duties

Server administrators who enable ticket channels are responsible for lawful ticket purposes, panel and intake wording, staff roles, participant access, retention settings, holds, requester-copy decisions, and protecting ticket data. Anyone with current Discord channel permission may type. Administrators must not represent claiming as an exclusive privacy boundary or use tickets to request passwords, authentication tokens, payment secrets, or similarly dangerous credentials.

Attachment bodies are not copied and Discord links may expire. Administrators should export records they are legally required to keep. Closing, archival, retention, guild removal, holds, and deletion are separate. A purge becomes irreversible after ticket-key deletion, and old panel deployments never automatically return when Solara rejoins a server.

3. Eligibility and Discord

You must meet Discord's minimum age for your country. If you are under the age of legal majority where you live, you may use the Service only with permission from a parent or legal guardian. Solara is not affiliated with or endorsed by Discord, Inc., and your use of Discord remains subject to Discord's own terms.

4. Accounts and authorized access

• You are responsible for securing your Discord account, sessions, devices, and authorized integrations.
• You may access only servers, forms, submissions, and administrative tools you are authorized to use.
• Permissions shown by the Service do not give you ownership of or an independent right to disclose another person's data.
• You must promptly report suspected account compromise or unauthorized access.

5. Acceptable use

You may not use the Service to:

• Break any law, violate another person's rights, harass users, or facilitate abuse or fraud.
• Probe, bypass, or defeat authentication, permissions, rate limits, encryption, or other security controls.
• Exploit bugs, distribute malware, disrupt the Service, scrape protected data, or overload our systems.
• Impersonate another person, submit deceptive information, or access data without authorization.
• Sell, sublicense, or commercially exploit the Service without our written permission.

6. Forms and server administrator duties

A server administrator who creates or manages a form is responsible for its questions, audience, purpose, reviewer access, retention setting, notices, and lawful use. Administrators must collect only information reasonably needed for a legitimate server purpose and must protect submissions from unauthorized disclosure.

Do not use Solara Forms to request passwords, authentication tokens, recovery codes, full payment-card data, Social Security or government identification numbers, medical records, biometric identifiers, or other highly regulated data unless Solara has expressly enabled that specific use in writing. Forms do not support file uploads.

A masked form hides the submitter's identity from normal reviewer views; it does not make the submission technically untraceable or exempt it from security, abuse-prevention, or legal processes. Administrators may not claim otherwise.

7. Your content

You retain ownership of content you submit. You grant us a non-exclusive, worldwide, royalty-free license to host, copy, process, transmit, and display that content only as reasonably necessary to operate, secure, support, and improve the Service or comply with law. You represent that you have the rights and permissions needed to submit the content and grant this license.

8. Retention, deletion, and backups

Forms default to a 365-day submission-retention period. Administrators may configure 1–3,650 days or indefinite retention. "Indefinite" is not a permanent-storage guarantee. Form data may be removed when retention expires, a form is purged, an authorized request is approved, the Service changes or ends, or deletion is necessary for legal or security reasons.

You are responsible for keeping any export or backup you legally need. We do not guarantee that deleted, expired, corrupted, or unavailable content can be recovered. Limited copies may remain temporarily in backups or records retained for legal, security, fraud-prevention, or disaster-recovery purposes.

9. Service changes and enforcement

We may change, limit, suspend, or discontinue any part of the Service. We may suspend or terminate access, preserve evidence, or remove content when reasonably necessary to enforce these Terms, protect the Service or others, comply with law, or respond to security threats. We will provide notice when reasonably practical, but urgent action may occur without advance notice.

10. Disclaimers

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." WE DISCLAIM ALL EXPRESS OR IMPLIED WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, ACCURACY, SECURITY, AND UNINTERRUPTED AVAILABILITY. WE DO NOT GUARANTEE THAT THE SERVICE WILL BE ERROR-FREE, THAT DATA WILL NEVER BE LOST OR DISCLOSED, OR THAT MODERATION OR SECURITY FEATURES WILL CATCH EVERY THREAT.

11. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SOLARA DEVELOPMENT TEAM AND ITS CONTRIBUTORS WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES; LOST PROFITS, REVENUE, DATA, OR GOODWILL; OR DAMAGES ARISING FROM UNAUTHORIZED ACCESS, SERVICE INTERRUPTION, USER CONTENT, OR THIRD-PARTY CONDUCT.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THE SERVICE WILL NOT EXCEED THE GREATER OF THE AMOUNT YOU PAID US FOR THE SERVICE DURING THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM OR US$50. Some jurisdictions do not allow certain exclusions, so these limits apply only to the extent permitted by applicable law.

12. Indemnification

To the extent permitted by law, you agree to defend, indemnify, and hold harmless the Solara development team and its contributors from claims, damages, losses, liabilities, and reasonable costs arising from your content, your administration of a server or form, your misuse of the Service, or your violation of these Terms or another person's rights. This obligation does not apply to the extent a claim was caused by our own unlawful conduct.

13. Disputes and Florida law

Before filing a claim, you agree to send a written description to [email protected] and allow 30 days for an informal resolution, unless urgent injunctive relief or applicable law requires otherwise.

These Terms are governed by Florida law, without regard to conflict-of-law rules. To the extent permitted by law, claims must be brought in a state or federal court located in Florida that has proper jurisdiction and venue. Small-claims matters and rights that cannot lawfully be restricted are not waived.

14. General terms

If part of these Terms is unenforceable, the remaining terms remain effective. Our failure to enforce a term is not a waiver. You may not transfer your rights under these Terms without our consent. These Terms and the Privacy Policy are the complete agreement between you and us regarding the Service, except for any additional written terms that apply to a specific feature.

15. Changes to these Terms

We may update these Terms as the Service or law changes. We will update the date above and provide reasonable notice of material changes. Continued use after revised Terms take effect means you accept them; if you do not, stop using the Service.
